Choose the right DAM: Key criteria for the 2020s

The growth of digital content is undeniable. Whether you work at a retail organization, a government agency or an international brand, chances are you manage a multitude of digital assets today. Think logos, images, videos, social posts and banners - scattered across teams, tools and folder structures.

Digital Asset Management (DAM).

Those who want to get a grip on that content chaos quickly look to Digital Asset Management (DAM). But how do you choose the right system? What criteria are really important today? In this article, we provide a clear checklist.

1. Centralization: one source of truth

A DAM system should be your brand's digital nervous system. A central place where you store, manage and distribute all your assets. This prevents teams from working with outdated versions or cobbling together creative (but incorrect) variants themselves. Pay attention to whether the system actually functions as a "single source of truth" and integrates with your existing tools such as CMS, PIM or e-commerce platform.

2. Usability for all users

For a DAM to be effective, everyone must work with it. Not just the marketing team, but also sales, HR, local branches or external agencies. The interface should be intuitive and approachable to use. Also pay attention to access rights and roles so that you maintain control without capping everything.

3. Smart metadata and search functionality.

Assets without proper tags are like books without titles: untraceable. A modern DAM system supports automatic tagging and lets you search by file name, type, campaign or even visual characteristics. The faster users find what they're looking for, the better your process streamlines.

4. Brand consistency and templates

Choose a DAM that monitors your brand, not just your files. That means support for brand guidelines, visual previews, version control and - if you really want to make strides - dynamic templates that allow colleagues to create their own on-brand materials. That's how you combine speed with control.

5. Integration and scalability.

Your DAM needs to move with your growth. That requires open APIs, integrations with tools like Adobe, Office or social media platforms and the ability to add new workflows without rebuilding everything from scratch. Also look at hosting options, backups, safety and security standards such as ISO27001: especially if you work with personal data or are in the public sector.

6. Support and development

You don't buy software, you choose a partner. So ask how the implementation is going, what support is available and how actively the platform is being developed. Are users listened to? How often are updates coming?

You choose a future-proof DAM system not just on features, but on vision.
