By now you are convinced that a Digital Asset Management (DAM) system can help you manage your digital content more efficiently. First, the basics: what does your organization need?
Start by identifying your specific needs. How many digital files do you manage? What types of content do you use the most? Who all needs access to the files? The answers to these questions will determine which type of DAM system is right for you.

The technical specifications are important, but there's more to a successful implementation. These factors deserve your attention:
Usability
A DAM system only works if your team actually uses it. Choose an interface that works intuitively. Your marketing team should be able to find what they need quickly, without days of training.
Scalability
Your organization grows, your content needs change. Choose a system that grows with you. Ask through how flexible the system is in adding new features or users.
Integration Opportunities
Your DAM system should work seamlessly with your other marketing tools. Think of your CMS, email marketing platform or social media tools. Check which links are available by default.
Look beyond the features
A vendor with an extensive feature list seems attractive. But features alone do not make the implementation of a DAM system successful. Also note:
Support and guidance
How does the vendor help you with implementation? Is local support available? And in what language? International vendors often offer only English-language support through automated help desks.
Security and compliance
Your digital assets are valuable. Check how the vendor handles security and privacy. Does the system meet the latest standards? Where are your files and data stored?
Learn from others
Large organizations like Atos are proving how valuable a good DAM system can be. With operations in 73 countries and partnerships with the Olympics, they need to manage huge amounts of content. But not every organization needs such a comprehensive system. During supplier interviews, ask for concrete examples from customers in your industry. Have them share cases of organizations with similar challenges and size. This will give you a realistic picture of what the system can do for you.
Make a realistic assessment
So be critical of what you really need. A smaller company with a stable brand identity and a compact marketing team has different needs than a multinational company. Choose a solution that fits the scale and complexity of your organization.
Look beyond today
A DAM system is more than a solution to your current challenges. It is the first step toward a more efficient marketing operation. Therefore, look carefully at the future-proofing of your choice. Many "free" or low-cost tools seem attractive, but quickly reach their limit. Then the costs begin to add up.
You also need to look beyond first impressions in terms of security. Check specific certifications such as ISO27001. Maybe not the sexiest aspect of a DAM system, but you are entrusting your valuable brand files to this system - then you want to make sure they are in good hands.
Most importantly, choose a system that fits your organization. Don't adapt your processes to the limitations of a tool. Find a solution that fits your way of working and grows with your ambitions.
